Club Photo Archive

At the District Leadership Training Assembly session I led in Victoria last weekend, we talked about record keeping for clubs. Several of our members take photos at club events. When a photo is needed for a presentation or some publicity purpose, those of us who take photos are asked to search what we have and provide a copy on a disk. Over time, we lose track of the photos that are available. As members move on part of the history of our club moves on with them.

Some clubs are using online photo web sites to store photos. I have an account with one of these services and, as an experiment, I have set up an archive so we can try it out. You can check it out, here is the link: http://www.23hq.com/kwalker/album/list

When a newspaper wants a photo, they can be sent a link to a particular image in the archive so they can download the image. It can be a full sized high resolution image as it came out of the camera, rather than a reduced quality version of the sort that we send by email.

For example, this link will take you to a photo of our club charter in the archive: http://23hq.com/P/qPcx

Articles on our web site can include the photos like this:

Although it may not be apparent, this image isn't stored on the club web site where you are reading this, there is only a link to it in this blog causing it to be displayed in your web browser directly from the archive. That makes it easier to add photos to articles, and if you click on the image, it takes you right to the archive where you can look at the full resolution image or download it if you want to print it out by going to the "More sizes for sharing" link. At least that link appears for me, I would be interested in hearing if it shows up for users who are not logged in as members of the photo site.

If you have photos to upload, there are several ways it can be done. They can be sent as an attachment to a special email address. You can set up a free account on 23hq. If you have another online account it may be possible to transfer them. Or you can put them on a cd or a usb key and give them to me to upload. If you do it, please upload the highest resolution that you have.

I would be grateful for any comments or suggestions about this idea. I will be raising it for comment at the executive meeting on March 10. Some of the things to be considered are:

  1. Is this a useful idea?
  2. Right now, anyone who finds these images on the internet can see them and download them. We could limit access with a password.
  3. There is no limit on the number or size of images. Should we put everything we can find related to our club, or should it just have selected, top quality images?
  4. Who has photos that can be added here?

Here is another example of things we can do. Have a look. The images in the Rotary 2000 archive are displayed here. Hover your mouse over the top or bottom edge of the image for some options.
